Mind You was established with the goal of creating happier, healthier and more productive workforces. The eMental Health platform was conceptualized in January 2020 because of the growing need for easier access to preventative mental health care. The development was then fast-tracked and launched due to the demand created by the global pandemic. Hereby, virtual mental healthcare will fulfil the unmet need for clients traditionally underserved by other mental health practitioners. There are some scientific sources stating that online mental healthcare has been shown to be effective for clients who may have difficulty reaching person-to-person appointments with Psychologists during normal business hours, while decreasing the number of missed appointments for in-person therapy.

About the role

The Administrative Intern is responsible for assisting Mind You's Office Manager with a variety of tasks including but not limited to data entry, vendor coordination, project management, and general office work. The ideal candidate will be a quick learner with good attention to detail. They will also have excellent communication skills and be able to work well with others. This is a great opportunity for someone who is looking to gain experience in an office setting and learn more about administrative work.

Duties and Responsibilities 

    To closely collaborate with the admin manager to handle day-to-day admin requirements
    Assist in creating visual version of admin SOP-s and announcements (via CANVA or other tools)
    Assist in announcing the SOP-s and liaise/answer queries on behalf of the admin manager
    To help update and maintain office policies and procedures
    Develop and maintain a filing system for all the essential, compliance documents that needs admin’s attention
    To collaborate with HR in updating and maintaining the records of IT Assets
    Assist the admin manager in ordering office/event supplies and research new deals and required suppliers
    Assist the admin manager in providing general support to visitors
    Act as the point of contact for internal and external clients
    Liaise with admin manager to handle requests and queries from MANCOM/EXECOM
    To assist the admin manager in supplier management and internal stakeholder management
    To do multiple admin errands in a week (field work) and receiving packages when housekeeping staff is not available
    To perform other tasks that are related, supplementary or complementary to their function

Qualifications

  Being able to report on-site at least 3x a week is highly preferred but not required
  Open to undergraduate applicants with at least 2 or 3 years of education in college but with experience in admin coordination and liaison work
  Preferred any Business/Marketing/International Relations related course that has a background on how business processes work
  Knowledge of office management systems and procedures
  Excellent time management skills and the ability to prioritize work
  Strong organizational skills with the ability to multi-task
  Attention to detail and problem solving skills
  Working knowledge of office equipment, like printers and fax machines
  Has good communication/liaising/coordinating skills
  Highly trainable and flexible in terms of problem solving of tasks
